Muse dropped the wrong player on my fantasy football team today. Thankfully it's a player I didn't really need, but imagine this in an online banking session?

This hits home running an accounting firm and trying to stay ahead of the AI wave (has that replaced the silver tsunami?). What's the equivalent for our industry? AI license for every team member? AI first pass at every recurring work item? AI first pass at every bank transaction? I don't have an answer, but we are pushing adoption into all those areas throughout our firm. But my worry is this is we're still tied to the proverbial shaft.
A mill owner ran the finest factory in the valley. At its heart sat a great steam engine, and from it ran one long iron shaft down the length of the building, with belts dropping to every machine. Because every machine had to hang off that one shaft, the whole factory was built around it: tall, narrow, dark, and arranged not by how the work should flow, but by where the belts could reach. One day a stranger arrived carrying a small humming box. "I sell electricity," he said. "Power you can send anywhere, through a wire." The owner's eyes lit up. "Wonderful! It's so dark in here. We'll hang light bulbs over the workers." So they did. The lights glowed. The owner told everyone at the guild dinner, "We use electricity now." WE ARE ELECTRICITY FORWARD AT THIS COMPANY! Later he went further. He tore out the steam engine and put one giant electric motor in its place, spinning the same old shaft, turning the same old belts, in the same dark building. The work went exactly as fast as before, and he wondered what all the fuss had been about. Across the river, a younger rival bought the same electricity. But he asked a different question: "If power can go anywhere, why is my factory shaped around a shaft?" So he knocked the building down. He built it low, wide, and full of windows. He gave every machine its own small motor and arranged the floor in the order the work actually moved. When one machine stopped, the rest kept running. Within a few years his factory made three times as much with half the people. The old mill owner, standing under his light bulbs, never understood how he'd beaten him. After all, they both used electricity, right? A new power poured into an old design will only reveal up your old mistakes. At Sagan, we’ve been calling this “paving the cow paths” (google it). When factories electrified in the 1890s, most did exactly what the mill owner did, swapping the steam engine for one big motor. The economist Paul David found the real productivity boom didn't arrive until the 1920s, roughly 30 years later, once a new generation redesigned factories from scratch around electric power. After building hundreds of agents for small, medium , and very large businesses - I am now of the belief that most businesses are hanging light bulbs - and I’m not going to enable it anymore. If we aren’t redesigning the plant from the ground up… it is not worth the opportunity cost of our very very capable/fast/cost effective AI Engineers. Fortunately for you dear reader… I have a plan. If this final plan doesn’t work, and work very well, I plan to stop selling lightbulbs to factory owners… and I’ll just go start launching factories to eat the lunch of the dinosaurs electrifying their steam factories.

📣 Partnership Announcement: Clearing x Keystone Bookkeepers Managing Short-Term Rentals requires more than basic bookkeeping. It requires consistent trust accounting, reliable owner reporting, and a repeatable month-end close. That is why we teamed up with @BenBookkeeper

Tax season shouldn’t be stressful. But one missing W-9 or inconsistent vendor name is usually all it takes to turn filings into cleanup work, retracing payouts, and uncomfortable owner conversations. Last week, I joined Topkey to walk through the exact 1099 prep process we use at Keystone Bookkeepers.

Really enjoyed talking with Matt Banker on the Marketing for Accounting Firms Podcast. We covered how Keystone grew from a 17-client buyout to 180 short-term rental clients, why we built an offshore-first team, and the lead gen channels that actually work for us.

Part two of our PH retreat is in the books. The Visayas crew is made up of a lot of the original Keystone employees and while not as large as the first meetup, they more than made up for it with their energy. It was a whirlwind of a week that allowed me to meet ~70% of the team from the US, South Africa, and the Philippines. I'm very excited for us to build on this momentum and to see how the team interacts after the chance to meet in person.

T minus one week till our company retreat in the Philippines. This will be the first time I've met my team in person, some of whom have been with me for over three years. I'm incredibly excited to spend the week there as we continue building a different kind of company.

We filed 1,783 1099's this month, more than double what we did last year. And somehow, this was the least stressful 1099 season yet! Now bring on the amendment requests...

At Bookkeepers Without Borders, we helped place 10 offshore bookkeepers in 2024. 8 with CPA firms and 2 with clients of Keystone. We continue to have a great pipeline of candidates and would love to find them jobs with great firms in 2025!

Wrapping up 2024: - $1.1M revenue (84% increase) - 42 employees (147% increase) - 142 clients (63% increase) - 1,428 (!!) STR listings serviced at year-end (didn't track this last year) Despite all this - operating income dropped 9%. Take away - growth is expensive (and hard!). We could easily cut staff and service our existing clients with a much smaller team, but we're investing now to continue growing in 2025.

I just found out one of our favorite companies to recruit from is now trying to re-hire staff. - Develop AI - Lay off staff - Team sees the writing on the wall and leave - We hire the best - They realize too many people are leaving and try to re-hire 🤷🏼‍♂️

One of our recruiting advantages - knowing which offshore agencies to target. These BPO agencies have a ton of incredibly well trained talent who are very open to working directly for US companies. Better pay + direct hire relationship is an easy pitch for us.
