The world's #1 task manager for teams and individuals 🚀 Status updates: @TodoistStatus.

I've decided to stop building every tool I need just because I can. I have a million projects, ideas, and todos. Tried Notion. Tried Obsidian. Neither worked for me. Enter @todoist . Plugged it into ChatGPT, connected my calendar and talked away. This is exactly what I needed, no more, no less. Sometimes the best thing to build is nothing 🙂

#2 every morning Grok Bot briefs me before i’ve opened a single app. it scans my calendar, 3 inboxes, @Todoist, and whatever my other bots dug up overnight. then it hands me the real priorities, in order: today’s calls, client emails that need a reply, deadlines coming up, and anything waiting on my OK. before every discovery call, it preps me on the lead: what they want, their budget, and the questions i should ask. i can even call it and get the rundown out loud while i make coffee ☕️ (the calling feature still needs a lot of work though, @poteto please fix)

I know a few people use Notion for AI task tracking, but I have had great success with @todoist . I have a project for every GitHub repo and I can add/remove tasks super easily. Either manually or with their AI plugin. I put everything in my life in Todoist…GitHub, Family life, etc. I have a few friends/family members I have shared projects with and they can contribute to the projects and basically work as a teammate for free. I use a label of ‘agent’ to help me differentiate what tasks are for me and what are for my agent.

How I get AI + my human assistant to do 50% of my work each day before I get out of bed: I use Todoist to track my daily to-dos. Each task inside Todoist gets a description that follows a simple formula: Why, Done, Access, Who Why = the purpose of the task Done = what does done look like Access = what tools are needed to complete the task Who = who is responsible for completion Every morning Codex looks at Todoist at all the tasks due that day. For any tasks where "Who" = Codex, it just completes the task. This could be drafting follow ups, writing an email broadcast, scheduling a UPS pickup, or any number of other things. For any task where "Who" = me or my assistant, Codex drafts a brief in the comments section of the task. The brief is designed to do as much of the task as Codex possibly can so that we can step in and finish it off. The brief may add additional context, an exact phone number to call, a specific person I personally need to reach out to and the details of our last interaction, etc. I highly recommend following the Why, Done, Access, Who context model for task management. It's kinda a pain to add all those details for simple tasks like "book haircut" but 30 seconds of additional effort on your part enables your AI (or your human) assistant to take entire tasks off your plate in one shot.

The whiteboard brainstorm pic (still) in your phone. The 10-page meeting notes with action items buried in the middle. The sticky note tasks you need to add to the team project. Try "Extract tasks" in Quick Add—Todoist will find & create tasks from pics, files, & text. ✔️

You’re doing it all for your team or business. How about a little help making time for the big stuff… or just for that *one task* you keep rescheduling (and rescheduling)? Todoist is now available as a built-in connector in Muse, @Meta 's personal AI agent.

Instead of manually adding post-meeting tasks, ask Muse: "add the follow-ups from today's supplier call to Todoist." And there they are, in your project, assigned to the right teammates before you hear, “who’s doing what?” Or, try "what's due this week?" for a high-level look.

"Save that as a todoist task for later" has become one of my go-to AI prompts. @todoist works really well in my ai workflow. I can add tasks on my phone, I can have any llm read any task via MCP and execute or follow up. When juggling many projects in parallel this helps me immensely to keep focus without losing track.
